How to Share Applications in Microsoft Live Meeting Hi. Welcome to the Premiere Global Services tutorial on how to share applications in Microsoft Live Meeting. Microsoft Live Meeting application sharing lets you share all kinds of documents as well as your entire desktop and is the most commonly used web conferencing feature. There are three sharing options. The first one is upload file. Several Microsoft file types are supported including Word, Excel, and PowerPoint. If you share a PowerPoint, any animation and transition effects will be seen as well. Uploading a file is ideal for presenting information that you don't need to edit during the meeting such as a slide presentation. It is recommended that you log in to your Live Meeting conference early and upload the documents before the meeting. However, you can always upload a document on the fly anytime during a meeting. When you are logged in to a Live Meeting conference, the sharing options can be accessed from the Content dropdown box. To upload a file in the Live Meeting console, select Content, Share, and then Upload File (View Only). You will be prompted to open the document. Just browse and select it then click Open. A progress bar will appear as the document is uploaded. While sharing an uploaded file, you can utilize the annotation toolbar at the bottom of the screen to make annotations such as using a pointer to emphasize text or graphics. For example, I'll now use the highlighter to emphasize one of the items in my presentation. The second sharing option is share a program. The presenter uses program sharing to show meeting attendees one or more applications on the presenter's computer. Program sharing is useful for demonstrating software or editing documents during a meeting. Attendees can view the shared application including all mouse movements and edits. Attendees will only see the individual program or programs you decide to share. To share an application, select Content, Share, and then Share a Program. You will see a list of all the programs currently running on your computer. Next, select an application to share. Once you start sharing, a sharing button will be visible in the upper right hand corner as well as the Live Meeting floating toolbar on the top. The floating toolbar allows you to pause or end sharing, begin annotating, or switch to a different application to share. You can also view your attendee list and see if you have pending questions in the Q&A window. The End Sharing button can be accessed here to stop sharing and return to the Live Meeting console. The last sharing option is share your desktop. The presenter uses desktop sharing to show meeting attendees his or her entire computer desktop including any applications, windows, and file directories that are currently open. The presenter can use desktop sharing to share several applications simultaneously or to share other areas of the computer such as file directories. Attendees will see the presenter's shared desktop including all mouse movements. Desktop sharing works similarly to application sharing except that meeting attendees will see everything on your screen. For example, if you receive an instant message, it will be visible to everyone. The advantage of desktop sharing is that you don't have to worry about which application to share. Anything you are doing on your computer can be seen my meeting attendees. To share your entire desktop, select Content, Share, and then Share Your Desktop. You can choose to share the entire screen or a selected area. Most people share their entire screen. Your desktop is shared immediately. Similar to when sharing an individual application, a sharing button will be visible in the upper right hand corner and the Live Meeting toolbar will be at the top of your screen. I'll now click the End Sharing button to return to the Live Meeting console. Each time you share in Live Meeting, the shared item will be listen when you click Content then Share. For recurring meetings, items will show each time you open the Live Meeting window. Simply click an item in the list to share it again. This can be handy for accessing documents you utilize often. If you don't want an item to appear in the list, right click on it and choose Remove. A final tip.
