How to Share Applications in WebEx Hi. Welcome to the Premiere Global Services tutorial on how to share applications in WebEx. The WebEx sharing function lets you share all kinds of documents as well as your entire desktop. It's the most commonly used WebEx feature. Let's walk through it now. When you first open your WebEx meeting, you will see this screen. The sharing options are front and center and can be accessed with just one click. There are three sharing options. The first one is present a document. Attendees can view shared documents as if they were looking at your computer screen. If you share a PowerPoint presentation, any animation and transition effects will be seen along with the content. Document and presentation sharing is ideal for presenting information that you do not need to edit during the meeting such as a slide presentation. To share a document, simply click Present a Document. You will be prompted to share the document. Simply browse and select it then click Open. You don't need to select the project or load documents before the meeting. Simply share them on the fly as you need them. While sharing a document or presentation, you can utilize the buttons at the top of the screen to access a pointer, a highlighter, and other annotation features. For example, I'll click the pointer button to activate it. I can now point to items on the screen. The second sharing option is sharing an application. The presenter uses application sharing to show meeting attendees one or more programs on the presenter's computer. Application sharing is useful for demonstrating software or editing documents during a meeting. Attendees can view the shared application including all mouse movements and the attendees don't need to run the application that you are sharing on their computers. To share an application, simply click Share an Application. You will be prompted to select an application to share. Choose the application you want to share. Click on it and click the share button. For example, I'll share this Excel spreadsheet. Within Excel, you can see that you're sharing as indicated by the sharing button visible in the upper right hand corner. Click the button to pause or end sharing or to begin annotating. If I edit the Excel document as I'm sharing, everyone can see the changes as I make them. I will now exit application sharing which returns me to the WebEx meeting window. The last sharing option is sharing your desktop. The presenter uses desktop sharing to show meeting attendees his or her entire computer desktop including any applications, windows, and file directories that are currently open. The presenter can use desktop sharing to share several applications simultaneously. Desktop sharing works similarly to application sharing except that meeting attendees will see everything on your screen. The advantage of desktop sharing is that you don't have to worry about which application to share. Your meeting attendees can see anything you are doing on your computer. But keep in mind, attendees will be able to see your instant messages. You may want to turn off your IM program before sharing your desktop. To share your entire desktop, simply click Share Your Desktop. Similar to when you share an individual application, a sharing button will be visible in the upper right hand corner where you can click to pause or stop sharing or begin annotating. I will now exit desktop sharing and return to the WebEx meeting window. Within the WebEx meeting, anytime you want to share, you can either go back to the Quick Start tab and click one of the sharing buttons or access the sharing options from the sharing pull-down menu. A final tip. If you haven't tried application sharing yet, log in before your next meeting to get comfortable with this powerful feature.
